Managing payroll
The 13th salary and holidays for hourly employees
Every month, twice or once a year; holiday and public holiday pay
The 13th salary and holidays are set once in each employee's record. After that, the payslips calculate them every month on their own: there is nothing to enter.
Open Invoices and then Payroll, Employees tab, click the employee and scroll down to the Holidays and 13th salary section. After a change, click Save.

Turn on the 13th salary
Turn on the 13th salary switch, then choose when it is paid:
| Choice | Payment |
|---|---|
| Every month (1/12) | A 13th salary line on every payslip: 1/12 of the month's salary for a monthly employee, 8.33 % of the hours worked for an hourly employee. |
| Twice a year (June and December) | The 13th salary builds up from January. In June the payslip pays 1/12 of the salary from January to June; in December, the rest of the year. |
| Once a year (December) | The December payslip pays 1/12 of the salary for the whole year. |
With payment twice or once a year, the balance built up is always paid when the employee leaves: on the payslip for the month of their end date.
A monthly employee with a 13th salary paid every month
Example: an employee at 80 % of a monthly salary of 6,000.– receives 4,800.– salary and 400.– 13th salary every month.
What the 13th salary is calculated on
By default, the 13th salary is calculated on:
- the monthly salary and hours worked;
- salary corrections for absence, as well as APG and maternity compensation and daily sickness and accident benefits: a compensated absence with continued salary therefore does not reduce the 13th salary.
It does not include overtime, bonuses, allowances, family allowances or expenses. For an entered pay item, the Counts towards the 13th salary option is changed in the Settings tab, Pay items.
The June payslip of a coach paid by the hour: 1/12 of the hours worked from January to June
Approve the months in order. The 13th salary paid in June, in December or on leaving adds up the year's approved payslips: a month left in draft is not counted.
Holidays for hourly employees
An hourly employee is not paid during their holidays: a holiday pay line is added to every payslip, as a percentage of the pay for the hours. Choose the number of weeks in Holidays per year; the percentage is shown below the field.
| Holidays per year | Holiday pay |
|---|---|
| 4 weeks | 8,33 % |
| 5 weeks | 10,64 % |
| 6 weeks | 13,04 % |
The percentage is weeks ÷ (52 − weeks). The Holiday pay line is calculated on the Hours worked and Overtime lines of the month, not on bonuses. The Base hourly wage in the employee record is therefore without holidays or 13th salary.
For a monthly employee, holidays are paid with the monthly salary: no holiday pay is added.
Public holidays and 13th salary on holiday pay
These two settings only appear for an hourly employee.
- Public holiday pay (%): if the contract provides for public holiday pay, enter its percentage. Like holiday pay, it is added on hours worked and overtime. Usually, leave 0.
- Also calculate the 13th salary on holiday pay: when on, the 13th salary is also calculated on holiday pay and public holiday pay. When off, it only covers the hours worked. Overtime never counts towards the 13th salary.
Example: 40 hours at 30.– make 1,200.–; with 4 weeks' holiday, holiday pay is 99.95 and the 13th salary paid every month is 99.95 (8.33 % of 1,200.–), giving a gross of 1,399.90.
